If you have registered in advance of the conference please go directly to ICC Capital Suite, Level 3 to collect your badge and delegate bag.
If you have your six digit confirmation number please take this with you to speed up the registration process.

Onsite payments
On site payments can be made in cash (£ sterling only) or by credit/debit card including AMEX. Please note we cannot accept payment by cheque or draft on site.
Registering a week to 10 days before the event
Anyone registering a week to 10 days before the start of ECOC 2013 and paying by BACS is advised to bring a copy of the BACS remittance with them.
Conference registration
Registration for members, non-members and students includes:
- All conference technical sessions (Monday 23 – Thursday 26 inclusive)
- All Half-day workshops (Sunday 22 September)
- Access to exhibition
- 1 USB copy of conference proceedings
- Refreshment vouchers for use at the coffee-breaks
- "Get-together drink" at the ICC Capital Suite, ExCeL (Sunday 22 September)
- "Welcome reception" at the Fox@ExCeL (Monday 23 September)
Member is defined as a person who is a member of any of the following:
- EUREL
- IET
- IEEE Photonics Society
- IEEE Communication Society
- OSA

Workshop-only registration
Registration for the workshops only on Sunday 22 September 2013 includes:

- Access to the workshop presentations via the website if the presenter makes them available
Welcome reception - Monday 23 September 2013
The evening will include food, beverages and entertainment in The Fox @ Excel which is a renovated tobacco warehouse with bare brick walls and iron beams and is a traditional venue to showcase traditional British fare.
The reception is included in the conference registration fee for members, non-members and students.
If you would like to bring a partner please order an additional ticket.
Additional tickets can be purchased for £20.00+VAT each.
Conference Dinner - Wednesday 25 September 2013
The Painted Hall is often described as the ‘finest dining hall in Europe’. Designed by Sir Christopher Wren and Nicholas Hawksmoor, it was originally intended as an eating space for the naval veterans who lived here at the Royal Hospital for Seamen. Its exuberant wall and ceiling decorations are by James Thornhill and pay tribute to British maritime power. Join us for a sumptuous dinner in luxurious historic surroundings.
Registration and payment are required for the dinner and tickets are limited to 400.
Tickets are £85.00+VAT and include pre-dinner drinks, a sumptuous three course dinner with wine in the luxurious surroundings of the Painted Hall.
ECOC policies
- Registration fees are for the duration of the conference
- 1-day conference registration fees are not available
- Sunday Workshops are included in conference registration. However if you wish to attend the Sunday Workshops only and not the conference a separate fee is available
- There are no reduced rates or complimentary places for speakers (contributed or invited), authors, chairs or committee members
- Authors must register by 18 August 2013
- Conference sponsors are not permitted to use conference passes included in sponsorship packages or any additional conference passes purchased for the benefit of presenting authors
Cancellation Policy
Cancellations must be made in writing and should be received no later than Monday 12 August 2013; cancellations will be entitled to a refund subject to a £75 +VAT cancellation fee.
No refunds can be made for cancellations received after this date.
Names changes can be accommodated by emailing events@theiet.org up until Friday 20 September @ 13:00GMT.

Online registration will close on Friday, 20 September @ 13:00GMT. Delegates wishing to register after this date are asked to visit the onsite registration desks located on level 3, ICC Capital Suite, ExCeL London.
I am an international delegate, why do I need to pay VAT?
Conferences that take place in the UK are liable for UK VAT as they are classed under VAT legislation as 'services' and therefore VAT is chargeable at source. Overseas delegates must pay the VAT charged on their invoice initially but may be able to claim this back from the UK VAT office. For information on reclaiming VAT see Notice no 723A which can be obtained from www.hmrc.gov.uk
This applies only to delegates; sponsors and exhibitors should consult with their own authorities.
Receipts and credit card statements
All payments to be made in £GBP.
Registration payments made by fax or telephone using a credit/debit card will show on your statement as a payment to IET Services Limited (or PPL Savoy Place); on-line payments made via WorldPay will show on your statement as WP-IEE EVENTS (STEVENAGE).
Payments by American Express can only be taken over the phone or by completing and returning the registration form.

Insurance
The Organisers cannot be held responsible for accidents to Conference registrants or for damage or loss of their personal property howsoever caused registrants should therefore make their own insurance arrangements.
Financing for travel expenses
We want all optical communication systems and engineering students to be able to join our scholars for the ECOC Exhibition. Registration is free, but travel costs are to be paid out of pocket. If you, like most students, are on a fixed income, then a short term personal loan can provide fast financing with fair rates so that you can attend the exhibition. Also, look into whether your university offers subsidized loans or other academic advancement programs as these could be an even more affordable option. Mingling with the experts and strengthening your skills in your future field can give you a step up. We hope to see you at the exhibition.
Important Information – PLEASE READ
It is with regret that we inform you that the IET, under the current UK, EU and US laws, is now prevented from providing any paid-for services to any person or legal entity based in Iran. This is because of severe restrictions placed on banking services which prohibits the IET from accepting from, or making payments to, any individual or organisation based within Iran via the Iranian Banking infrastructure or by any other mechanism.
As a result of this it is no longer possible for the IET to take registrations for this conference from any person or legal entity based in Iran.

Visa letter requests
Participants are requested to familiarise themselves with visa requirements well in advance of the conference. The present worldwide security regulations result in generally more stringent visa requirements and associated visa processing time.
The ECOC 2013 organisers cannot intervene with Embassies abroad on behalf of any participant. However, if you need a personal letter of invitation to attend the conference, please contact the administrative office at ecoc2013@theiet.org and provide the following information:

Visa letters will only be issued to delegates who have paid a conference registration to attend ECOC 2013.
